Challenge

Cheltenham College, a distinguished co-educational Day Boarding and Day school boasting a rich legacy since its establishment in 1841, encountered significant hurdles in the form of unreliable suppliers and inefficient fleet management. Catering to the educational needs of 1170 students ranging from ages 3 to 18, and housing eleven residences for pupils aged 13- 18, the college acknowledged the imperative for a comprehensive overhaul of their print device fleet. This strategic initiative aimed to not only bolster supply chain and technology reliability but also to drive efficiency, enhance productivity, and foster sustainability, all while strategically optimising costs.

Solutions

Partnering with Zerographic, Cheltenham College standardized its device fleet with multifunctional devices and OEM certified supplies. They installed Xerox Device Agent (XDA) software to monitor devices, enable automatic toner replenishment, track usage for budgeting, and highlight hidden costs to prevent overspending.

Papercut software, incorporating charge back codes and cross charging, provided print usage visibility for each department, allowing for accurate cost monitoring. Additionally, Papercut enhanced print security by requiring authentication for print jobs, ensuring the confidentiality of sensitive information. Furthermore, Zerographic were able to successfully install Papercut on a predominantly Mac-heavy environment, enabling seamless printing across various devices such as tablets, mobiles and any Windows or Mac device.
